Registration, Participation, and Refund Policy

Thank you for your interest in joining a guided trip or event with us! To help make your experience and the experience of others is smooth and enjoyable, please review the following policies for our guided trips and events.

1. Admission
We welcome all participants regardless of race, color, creed, national origin, religion, disability, gender, or sexual orientation. Some trips or events may have a minimum age requirement. Age requirements will typically be listed in the trip or event listing. For any trip or event that allows participants under the age of 18, parental permission is required. Parents must sign the "Liability Release" form along with the participant.

2. Registration
Registrations are processed on a first-come, first-served basis. To reserve your spot, select your desired trip, event, or rental and pay in full. Please note that space is limited, and availability is not guaranteed until payment is received.

3. Confirmation
Once your registration is complete, you’ll receive a confirmation email with important event details, instructions, and any required materials about your trip or event.

4. Cancellations, Refunds & Transfers
Please register only if you're confident in your availability and readiness to participate. Due to the nature of our planning and costs, our refund policy is as follows:

  • More than 14 days prior: 50% refund

  • 14 to 7 days prior: 25% refund

  • Less than 7 days prior: No refund

No refunds will be issued for personal or medical emergencies, late arrivals, early departures, or any other reasons outside of our control.

We reserve the right to cancel or reschedule events due to staffing issues, severe weather, or low enrollment. In such cases, you will receive a full refund or the option to transfer to the new date.

5. Weather
Courses and events proceed rain or shine. In cases of extreme weather, participants will be notified of any rescheduling.

6. Accommodations
Requests for accommodations (medical, accessibility, or otherwise) must be made at least 14 days prior to the trip or event. This includes completing the required General Information/Health Questionnaire form. If your request cannot be met and it prevents your participation, we will issue a full refund.

Please do not enroll in trips or events that you already know you may not be physically or medically prepared to complete. This helps ensure a safe and enjoyable experience for all participants.

7. Conduct & Dismissals
Participants are expected to uphold respectful behavior at all times. Showing up to a trip or event under the influence of alcohol or substances is strictly prohibited. The use or possession of alcohol, illegal or recreational drugs, and smoking is not allowed during trips or events. Being under the influence of any substance during a trip or event is grounds for immediate dismissal from the trip or event. Pets are not allowed unless prior permission from Peaks & Pines Backcountry Guides LLC is granted, no exceptions.

We reserve the right to refuse admission or dismiss a participant from a trip or event if we perceive a physical, mental, emotional, behavioral, or medical concern; if the participant engages in any activity we consider detrimental to the trip or event; or if the participant presents a safety risk to themselves or others.

No refunds will be issued for dismissals from trips or events.

8. Required Forms
All participants must complete and submit required forms prior to the start of their trip or event. These forms include the "General Information/Health Questionnaire" form and the "Liability Release" form.

If these forms are not received before the start time of the trip or event, the participant will not be permitted to attend. No exceptions will be made, and no refunds will be issued for failure to submit required forms on time.
